Volunteer Job Description

Job Title: Plein Air South (PAS) Host


Purpose: To assist the PAS Planning Committee with with hosting the PAS annual “Gathering”.  Hosts will aid with registration and check-in, attendee information, pass out materials, staff the Marketplace, and assist with receptions, lunches, and presentations as needed. In this position, you will gain experience working with all levels of artists, presenters, and vendors; coordinating event activities; and providing arts education.

Program Overview: Plein Air artists, organizations and painting groups across the South are coming together to host the first ever "Plein Air South" regional gathering, May 15-18, 2017 in Apalachicola, Florida. The planning committee is hard at work scheduling 4 days of presentations, demonstrations, instruction, vendor exhibition, and of course, painting outdoors. The gathering will initiate Plein Air South as a membership organization to grow Plein Air South as a sustainable annual gathering.

Organizing Team (Planning Committee): Representatives from plein air artists groups, organizations, individual artists, plein air event organizers, and related businesses (lead organization, Forgotten Coast Cultural Coalition, FCCC)

Target Audience for Attendance: The Southeastern plein air community;  including artists of all skill levels, collectors, plein air enthusiasts, plein air artists groups, regional organizations, plein air event organizers, and related businesses.

Organizational Strategy: Capitalize on the expertise of the Southeastern plein air community and the network of regional artist groups. Engage affiliated volunteers to host elements of the program. Develop sustainable “Planning Committee” with ability to outline and implement a long range plan for Plein Air South. Develop committee structure to move initiative forward as a membership organization. Potential committees to include: Program Content, Logistics, Marketing, Vendors, Sponsorships, Administration, and others as deemed necessary.

Infrastructure: As lead agency, the Forgotten Coast Cultural Coalition (FCCC), a certified Non-Profit, 501c3 organization, will serve as the fiscal agent until the PAS Board has attained non-profit status. Support from the Florida Division of Cultural Affairs and Visit Florida has been secured. FCCC is the organizing entity for the Forgotten Coast en Plein Air event. Registration for each attendee (including volunteers) will include  the initial year membership in PAS. A Board of Directors will be elected at the PAS Annual Gathering.

Location: Apalachicola, Florida (Center for History, Culture and Art and venues)

Key Responsibilities could include the following:

• Assist with attendee registration and distribute event information

• Host event venues.

• Staff the Marketplace and assist vendors.

• Host receptions, assist with lunches and networking breakfasts.

• Prep materials for presentations as needed.

• Arrive to volunteer location 15 minutes before the activity begins.

Time Commitment: 20 hours of volunteer work between May 14 and 18, 2017

Qualifications: The desire to work with artists and an interest in art is encouraged. You must be comfortable working with large groups of people and have your own transportation.

Reports to: PAS Planning Committee Chair

Age Requirement: You must be at least 18 years old.

Dress Code: Business casual (dress jeans are okay).
